Privacy Policy of the library services
of the Wroclaw University Library
1. Administrator of personal data

2. Purposes and legal basis of data processing
Personal data of users of the Wroclaw University Library are processed for the following purposes:
- creating and managing a library account,
- processing loans, returns and orders for library materials,
- circulation of special and digital collections,
- providing access to electronic resources,
- keeping statistics and reporting,
- ensuring the security of collections and infrastructure,
- contacting the user in matters related to library services,
- health data in relation to disability information (if necessary to provide appropriate library services or ensure accessibility).
The legal basis for data processing is Article 6(1)(b), (c) and (f) and Article 9(2)(b) of the GDPR.
3. Scope of data processed
Depending on the type of service, the following data may be processed:
- name and surname,
- PESEL number or other identity document,
- address of residence, work or study,
- library card number,
- e-mail address and telephone number,
- data regarding the use of library services (e.g. history of loans, orders, fees),
- login data for electronic systems (e.g. IP, login, access time).
4. Data recipients
Data may be shared to:
- authorized employees of the University of Wrocław,
- entities processing data on commission (e.g. library system providers),
- entities authorized under the law.
All data processors operate under data processing agreements and are obligated to maintain confidentiality.
5. Data storage period
Personal data is stored for the period of:
- duration of authorization to use library services,
- necessary for settling loans and fees,
- required by law or internal regulations of the University of Wrocław.
6. Rights of the data subject
The user has the right to:
- access ones data,
- rectify, erase, or restrict its processing,
- object to its processing,
- transfer data,
- file a complaint with the President of the Personal Data Protection Office.
7. Voluntary provision of data
Providing personal data is voluntary, but necessary to use the Library's services.
8. Cookies and technical data
The WUL's website uses cookies to:
- ensure proper operation of the website,
- analyze traffic and statistics,
- adjust content to user preferences.
The user can manage cookies using their browser settings.
9. Data processing in connection with use of e-resources
When using electronic library resources (e-resources), such as databases, journals and e-books, the Wroclaw University Library may process additional technical data, including:
- IP address,
- user ID (login),
- time and scope of used resource,
- device and browser data.
This data is processed to provide access to licensed resources, monitor usage in accordance with the license terms, and ensure the security of IT systems. The legal basis for data processing is Article 6(1)(b) and (f) of the GDPR.
10. Data processing in connection with a power of attorney granted
If authorized persons are appointed to lend and prolong books, the following personal data is stored:
- name and surname of the authorized person,
- ID document number.
11. Data processing in connection with the Declaration of the legal guardian of a minor
If a legal guardian completes a declaration of consent for a minor to use the library and information system, the following personal data may be processed in the system:
- name and surname,
- address,
- phone number,
- email address,
- school name and address.
12. Personal data is stored in the library and information system until the account is deleted from the electronic library system. After the account is deleted, the data is anonymized for statistical purposes.
